To use the services of Pool4You Oy, the customer must accept the data collection and processing methods described in this privacy policy. This acceptance is confirmed and recorded in Pool4You’s systems at the time of placing an order (contract), creating or using a customer account (consent), or during any other comparable action that requires data collection.
Pool4You uses the collected data for the following purposes:
- Managing the customer relationship
- Processing, delivering, archiving, and accounting for orders
- Handling warranty and complaint cases
- Providing a secure and user-friendly service
- Developing product recommendations and marketing

What Data Is Collected and Stored
Information Provided by the User
- Identification information, such as name
- Contact details, such as phone number, email address, and postal address

Data Observed From Service Use
- Delivery information, such as delivery address and chosen payment method
- Purchase history, such as ordered products and payments

In general, the primary source of data is the user/customer themselves. A registered user of the online store can view their stored information through their customer account, and if desired, delete their customer account.
Who Processes the Stored Data
Only Pool4You employees have access to the systems used by Pool4You. Access levels are determined based on job responsibilities. Processing customer data requires a personal password. In our ERP system, all actions involving data viewing or processing are logged per user account.
In certain cases, data is transferred to third parties—for example, for payment processing, electronic invoicing, or product delivery. Only trusted partners are used for these purposes. Data protection and processing agreements fulfill requirements set by legislation and the EU GDPR. Pool4You’s partners are not permitted to use the data for their own purposes or share it further.

Storage of Collected Data
Pool4You’s customer data is stored in encrypted databases within the secure data centers of our partners, with restricted access. Pool4You follows good data protection practices, and access to data is controlled. The requirements of the EU General Data Protection Regulation (GDPR), effective from 25 May 2018, are adhered to in personal data processing.
Data Retention Period
Pool4You retains data for as long as necessary to fulfill the purposes described in this policy. Personal data associated with inactive customer accounts is deleted no later than five years after the account becomes inactive. Some data may be retained longer if required by law, outstanding invoices, or collection processes.
At the customer’s request, all stored information may be deleted entirely or partially, unless prevented by law, outstanding invoices, or collection actions. A deleted customer account cannot be restored. Due to database backups, complete removal of personal data requires a full backup cycle. If the customer later wishes to register again, a new account will be created from scratch.
Newsletter subscribers can unsubscribe at any time by clicking the “Unsubscribe from mailing list” link in the message. An unsubscribed email address cannot be added back by Pool4You. Customers may re‑subscribe via the website or during an online store purchase.
Pool4You also uses electronic forms to collect customer feedback. Feedback is anonymous unless the customer voluntarily provides their contact information. Anonymous feedback cannot be linked to a specific customer.
In website contact forms, contact details are required so that we can respond to the customer’s inquiry. These details are used solely to contact the customer.
Customer Rights
A customer has the right to:
- Request a copy of the data stored about them
- Request correction of stored data
- Request deletion of stored data
- Request restrictions on the processing of stored data under certain conditions
Data storage and processing are based on the customer’s consent, and the customer has the right to withdraw this consent. When the customer account is deleted, the data processing consent given to Pool4You is withdrawn.
A registered online store customer can delete their own customer account, but complete deletion of data from Pool4You’s ERP system requires contacting customer service. Correction requests and any other inquiries regarding stored data must also be sent to customer service.
If a customer notices deficiencies in our processing or practices, they have the right to file a complaint with the data protection authority. We hope the customer also contacts Pool4You so that any errors can be corrected.
Transfer of Data to Third Parties
Some necessary data is transferred to third parties to enable payment transactions, order deliveries, or marketing communications. For example, delivery providers receive the customer’s address and contact details. During payment, payment information is transmitted through a trusted payment processor.
Only the minimum required information is shared, and service providers may not use the data for any other purpose. All data transfers occur over encrypted connections.
Tracking on Pool4You’s Website
Pool4You’s website uses cookies and similar browser‑based technologies, such as local storage. These small files allow us to collect analytics about website usage and provide a better‑functioning online store. Cookies are used, for example, for shopping cart functions and login for registered customers. By default, cookies remain in the browser for one month unless manually deleted. They can be removed through browser settings. When the customer revisits the website, new cookies are created. Accepting cookies is mandatory.
Website usage is tracked with Google Analytics. This analytics allows us to analyze and improve website and online store performance. The data is not personally identifiable.
Pool4You’s Right to Modify This Privacy Policy
Pool4You aims to continuously develop its services. Therefore, some services or functionalities may be added or changed, and this policy will be updated accordingly. Legislative changes may also require updates or clarifications.
Significant changes will be communicated separately to customers.
